How TapTheTable Works

From setup to daily operations - here's everything you need to know about running your business with TapTheTable.

Step 1

Getting started

Set up your digital menu in under 10 minutes. No technical skills required.

Create your account

Sign up for free, name your business, and choose your business type: restaurant, cafe, salon, grooming parlour, retail store, hotel, food truck, spa, gym, co-working space, event venue or church. The wording across the app adapts to match.

Import your menu

Use AI to import from a photo of your existing menu, a PDF, or a spreadsheet. Or enter items manually - whatever's easiest.

Choose your template

Pick from 8 professionally designed templates: classic, compact, elegant, modern, minimal, grid, list, or swipe. Switch anytime.

Brand it

Upload your logo, set your brand colours, and preview exactly what customers will see on their phones.

Generate QR codes

Each table gets its own unique, secure QR code that you can regenerate at any time. Download in multiple print formats - table tents, stickers, or A-frames. Print them, place them, and you're live.

Step 2

Your customers' experience

Here's exactly what happens when someone scans your QR code.

Scan the QR code

Customer points their phone camera at the code on the table - or in their hotel room. Your menu opens instantly in their browser - no app to download, no account to create, no friction.

Browse the menu

They see your full menu with category tabs, search, and item details. Dietary filters let them find vegetarian, vegan, gluten-free, or halal options instantly. Allergen information is clearly shown on each item.

Switch language

On supported plans, customers can view your menu in English, Afrikaans, Zulu, or Xhosa. Great for serving a diverse local customer base and international tourists.

Add to cart

They select items, set quantities, and add special notes (like "no onions" or "extra spicy"). The cart updates in real time with running totals.

Place the order

They submit their order and see a status page with real-time updates. You receive the order instantly on your live order board - no missed orders, no miscommunication.

Step 3

Running your business day-to-day

Once you're set up, TapTheTable becomes part of your daily workflow. Here's what you'll use it for.

Order management

Your live order board shows incoming orders in real time. Track each order through its lifecycle - new, in progress, ready, served. Staff can confirm QR orders before they're processed.

Menu updates

Change a price, toggle an item as sold out, or add something new - all in a few taps. Changes go live instantly, no reprinting required. Ever.

Daily specials

Create time-limited specials with discounted prices. They appear prominently on your public menu with discount badges, and automatically expire when the promotion ends.

Analytics

See how many people scanned your QR codes, what they ordered, your busiest hours, top-selling items, revenue trends, and scan-to-order conversion rates. Business plan includes weekly email digests.

Notifications

Connect your own WhatsApp Business account or Telegram bot to receive order notifications directly on your phone. Never miss an order, even when you're away from the dashboard.

Team management

Invite staff members with appropriate roles. Owners manage the menu and settings; staff handle orders and day-to-day operations.

POS till

Ring up walk-in and phone orders on any tablet at the counter. Tap items, pick a table or takeaway, record cash or card, and the order joins the same board as your QR orders.

Kitchen display

A dark, full-screen ticket board for a tablet or TV in the kitchen. Tickets turn amber and red as they age, and one tap moves them from new to in progress to ready.

Payments

Connect PayFast, Yoco, SnapScan, Zapper, iKhokha or Stripe with your own merchant account. Take payment before the order is sent, or let customers pay at the counter.

AI assistant

Connect ChatGPT or Claude by signing in with your TapTheTable login, or a developer tool with one API key. Ask for today's takings, mark an item sold out, add a special or fix a description without opening the dashboard.

Self-service kiosk

Mount a tablet at the counter and let customers build their own order, pick a size or extra, and pay by scanning a code or at the till. Orders join the same board and kitchen screen.

Order ahead with collection slots

Offer collection times that follow your opening hours and how many orders you can handle per slot. Tickets show the pickup time and turn amber as it approaches.

Loyalty stamp cards

Customers collect a stamp per order with just their phone number, from the menu, the kiosk or the till. Set how many stamps earn a reward and redeem it at the counter.

Pay or split the bill

A table's orders roll into one bill diners can settle from their phones, in equal shares or by the items each person had. Staff see open bills on the order board and can close them at the counter.

Modifiers and multiple locations

Add sizes, extras and "choose one" options with their own prices to any item. Running more than one site? Manage one menu and push it to every location, with local prices and availability.

Giving, events and info pages

Set any item to an open amount and it becomes a fund on your Give page, with an emailed receipt for every gift. Publish a calendar with registration and simple info pages behind the same QR code.
